Managing clients can be tough and take up a lot of time if you don’t have the right processes in place. As an owner, you have so much on your plate already that client management shouldn’t be a worry of yours. Here are tips on how to keep your clients happy but minimize the time you spend on client management.
Stay Organized with CRM Software
Utilizing a CRM software is critical if you want to stay organized with your clients. With CRMs you can input all client contact information, keep track of each time you connect, automate client follow-up, increase sales and much more. By keeping all clients in one place it allows you to offer better customer service and build better relationships. If you have a team of people working with you it also helps them keep up to date with the status of your client relationships. The two most common CRM software are HubSpot and Salesforce.
Stick to the Schedule
Creating a schedule for each client and sticking to it will help you stay focused and set expectations for each client. Having a schedule that works for both of you will allow them to know when you’re working on their project, due dates, and project completion. When you have multiple clients, your workload can become overwhelming. Try using a Google calendar to schedule out each of your client projects so you can visually see days you are busy and with which client.
Make a Habit of Sending Reports
We know reports aren’t the highlight of what you do, but it will save you time in the long run and help improve your client relationships. Get on a schedule with each client to send weekly, monthly, quarterly and yearly reports. This not only helps keep you organized with your reporting and stats but keeps your clients informed of any changes or trends. The client will also see that you are active with their account and allows you to track your progress.
Send Monthly Company Emails
Sending emails is a great way for past, future and prospective clients to stay informed about your company. It creates a personal bond and helps the client get to know you on a different level. Items to include in your email can include company updates, new content you’ve created that month, client highlights and anything else you may think your clients would want to know. You can simply create a template and switch out the content each month. It’s a simple task that your company will reap many benefits from. There are both paid and free email platforms you can use such as MailChimp and Constant Contact.
Client management doesn’t have to be as overwhelming as it can seem. Using these tips you can save many hours while building long-lasting relationships.
